Ep 293: The Five-Folder Framework to Digitally Organize Your Business - with Tracy Hoth

Is Digital Clutter Secretly Holding You Back? Here's What You Can Do About It
Ever feel like you’re spending way too much time digging through Google Drive, searching for links, or wondering where on earth you saved that client document or podcast outline?
You’re not alone—and you’re definitely not broken.
This week on the podcast, I had the best conversation with organizing coach and certified life coach Tracy Hoth, and we dug into something I don’t hear enough people talking about: digital disorganization—and how it might be quietly clogging up your business growth.
Tracy said something that really stuck with me:
"If your disorganization is clogging the pipe of your business, it's not flowing."
YES. It’s not just about messy folders or too many browser tabs. It’s about what that mess is costing you—your time, your confidence, and your ability to move forward in your business.
So many of us waste hours trying to find things we've already created: notes from a coaching session, a Canva graphic, that PDF we swore we saved… and then we feel frustrated and even a little ashamed that we can’t just “get it together.” I’ve seen it with my own clients too—they’re doing great work, but they’re stuck spending half their day looking for stuff their team needs to keep things moving.
Tracy pointed out that a lot of this comes back to identity—those sneaky little stories we tell ourselves:
“I’m just not an organized person.”
“I’ve always been messy.”
Sound familiar?
But here’s the good news: that identity isn’t fixed. You can untangle those thoughts and create a new story—one where you are the kind of person who runs an organized, streamlined business. (Yes, even if your desktop currently looks like a digital yard sale.)
And guess what? The actual system Tracy teaches is so simple.
She walks you through five basic digital folders every business owner needs:
-
Operations – for all your behind-the-scenes stuff
-
Marketing – anything you're putting out into the world
-
My Content – things you create (podcasts, blog posts, etc.)
-
Education – resources and materials from others
-
Clients – everything related to your client work
That’s it. Five folders. One system. Endless relief.
But here’s the kicker—it’s not just about having the system. It’s about approaching it like a project. Set a time frame. Block it on your calendar. Give yourself a start and end date. Don’t let organizing your digital world turn into one more never-ending to-do.
Tracy’s clients have experienced huge shifts—not just in how they manage files, but in how they see themselves. One woman realized that after organizing her folders and bookmarks, she had proof that she was, in fact, organized. That’s powerful.
Because once your digital world is flowing, you start flowing. You stop spinning your wheels looking for things, and start focusing on what matters—serving your people, creating amazing offers, growing your business.
Here’s your new definition of “organized,” straight from Tracy:
“You know what you have, and you can find it when you need it.”
No Pinterest-perfect filing system required. No shame allowed.
And one last thing I loved from this conversation: Everyone is already organized somewhere in their life. Maybe it’s your bathroom drawer or your recipe binder or your weekly calendar. Use that same approach and apply it to your business—it’s not about changing who you are, it’s about building on what’s already working.
If digital clutter has been weighing you down, this episode is a must-listen. Let’s clear the mess and get back to growing.
xoxo,
Kimberly
